TJQD Oakham is committed to protecting and respecting your privacy. Your TJQD Instructor will collect only the personal details needed to run classes and activities.
If you supply any health or fitness related information, this is held only to allow the safe running of classes, and you will need to consent (below) to this data being held.
Your Instructor will ensure your details are stored securely, either electronically on a password protected devices, including mobile phones and laptops, or files or paper documents that are kept securely.
Only your Instructor can view the details you supply to them. You have the right to see the details held on you and have your details changed or removed from any lists or records. You can do this by asking your Instructor, or by contacting the TJQD Data Protection Officer directly.
Your contact details will be used to keep you up to date with information about your classes, and to let you know about events, for example, workshops organised by other TJQD groups.
Your Instructor will not share your contact details with any 3rd parties, and emails from Instructors to groups of students will use the blind cc option.
If you sign up to workshops or events, the Instructor organising the event will follow this policy and store and keep contact details in the same way, and will delete records after the workshop or event.

- Personal Data Held - The Personal Data held is provided by you to make an enquiry about my tai chi classes. We also collect data on the Joining Form that you complete when you join one of my tai chi classes, along with any updates to this information that you may provide over time. This includes your name and contact details, emergency contact details and information regarding your health and fitness. Images taken as teaching aids are not stored or shared. Photos at events are sometimes published on our website.
- Reason For Holding This Data – The information is used to contact you about tai chi classes and answer any queries you may have. The Joining Form data will help to determine the suitability of the Tai Chi class for you and to highlight where you may need to seek further medical advice before or during attending classes. We will process your personal data to allow us to provide you with our services as your tai chi teacher in arranging and administering your classes, for statistical analysis and to assess your suitability to our classes and workshops where applicable.
- Data Storage - All Enquiry Form data from the ’Contact Us’ page is stored securely offline. All Joining Forms are retained in paper format and stored securely at my home or are taken with me when teaching. I also store this information electronically ‘offline'. This information is password protected and encrypted to ensure the highest possible security.
- Data Sharing – The information you provide is confidential and I do not share your data with any other people or organisations other than acknowledged teachers of the Tai Ji Quan Dao group, or where we are required or entitled to do so by law under lawful data processing. You don’t have to share your personal data, but if you choose not to, your Instructor may find it difficult to update you about classes or let you know about events and activities.
- How long do we keep your data? - I retain your personal data for as long as necessary to provide you with my services as my tai chi student. When you stop coming to my classes, I retain the Joining Forms for my records for at least 7 years following your last class. This is both a tax and legal requirement, and is required by my insurers, in case of any future legal issues. If you send an Enquiry Form and decide not to come to my classes this data is destroyed.
- Individual Rights – You have the right to make a request, verbally or in writing, to view the data I hold for you, for inaccurate data to be corrected, or for your data to be deleted. I must respond to any of these requests within one month. In exercising your Individual Rights, you should understand that in some situations I may be unable to fully meet your request, for example if you make a request for me to delete all your personal data.
- Consent to Communication - I use your email addresses, mobile or landline numbers to inform you about class dates, times and cancellations. You can opt out of receiving these communications at any time in person at a class, by emailing taichiforhealth53@gmail.com
